Privacy policy

How Ascend Group uses personal information.

How we handle personal information under UK data protection law. Last updated 6 October 2026.

This policy explains how Ascend Group uses personal information when you use this website or ask us about marketing services. It is written for UK data protection law, including the UK GDPR and the Data Protection Act 2018, and for the Privacy and Electronic Communications Regulations (PECR) where we send marketing.

Last updated 6 October 2026.

Who we are

Ascend Group is the controller for the information described here. Write to us at 16 Victoria Way, Burgess Hill, West Sussex RH15 9NF, email weslee@ascendgroup.uk, or call 07534 409 903. Monday to Thursday, 9:00 to 5:00. Friday, 9:00 to 4:00.

What we collect

  • Identity and contact details you give us: name, work email, phone number, company, and your message. Phone number is required on enquiry forms so we can call you back.
  • The service you say you are interested in.
  • Records of calls, emails and proposals if we go on to discuss work.
  • Technical data needed to run the site and limit abuse: IP address, the time of a submission, and a preference stored in your browser.

We do not ask for special-category data, such as health or ethnicity. Please do not include it in a message. This site is not aimed at children, and we do not knowingly collect information from anyone under 18.

Why we use it, and the lawful basis

  • To reply to enquiries and prepare a proposal. The lawful basis is steps you asked us to take before a contract, and our legitimate interest in answering a business enquiry (UK GDPR Article 6(1)(b) and 6(1)(f)).
  • To deliver marketing services if you become a client, including reporting and invoices. The lawful basis is the contract, and legal obligation where we must keep financial records.
  • To send occasional marketing notes, only if you tick the newsletter box. The lawful basis is consent. You can withdraw it at any time by emailing us. Withdrawing consent does not affect replies we have already sent.
  • To keep the site reliable and reduce spam. The lawful basis is our legitimate interest.

Who we share it with

Enquiry records are stored on the server that hosts this site and emailed to our studio inbox. We use service providers who host the site or carry email. They process information only on our instructions. We do not sell personal information, and we do not pass enquiry lists to other agencies.

We do not currently run advertising or analytics tags. Images on some pages are loaded from Pexels, so your browser contacts their servers when those images load. If a provider stores information outside the UK, we rely on a lawful transfer mechanism, such as the UK adequacy regulations or the International Data Transfer Agreement.

How long we keep it

Enquiry records are kept for up to 24 months if we do not start work, then deleted or anonymised. If we work together, we keep the client file for the life of the work and for up to six years afterwards, which covers ordinary UK limitation periods and tax record-keeping. Newsletter details are kept until you unsubscribe. Server logs follow the host’s normal retention.

Your rights

You can ask for a copy of your information, corrections, deletion, restriction, or a portable copy of information you gave us, and you can object to processing based on legitimate interests. Email weslee@ascendgroup.uk. We will respond within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk, or by calling the ICO helpline on 0303 123 1113. We would like the chance to put things right first.
